Position: Facilities SpecialistClassification: Professional
Support ADepartment: Facilities ManagementReport to: Vice President
General Job Summary:This is a full-time position located at the
Administration Building in Estherville. Primary responsibility is
to assist the Vice President in the performance of his/her
duties/activities. Process communication from the Vice President to
students, faculty, and staff. Process billing and payments, report
discrepancies and schedule/maintain vehicle fleet. Maintain key
inventory and assignments. Responsible for Iowa Lakes Alert, Iowa
Lakes AMAG and Persona access systems. In the Vice President's
absence answer inquiries or direct to appropriate personnel.
Organizational skills and a strong commitment to student and
customer service are essential. % of TIME Essential
Duties/ResponsibilitiesConstant(67-100%) Maintain current budget
reports for all normal and special projects. Process bills,
requisitions, purchase orders, pcards, Ellucian and other forms or
reports submitted to the Vice President's Office.Assist faculty,
staff, and visitors in the Vice President's absence to resolve
problems and answer inquiries.Coordinate scheduling of college
vehicles, charge out mileage and maintain vehicle fleet.
Frequent(34-66%) Competently operate the Iowa Lakes AMAG and
Persona access systems.Share information on winter weather
conditions and competently operate the Iowa Lakes Alert
system.Maintain accurate records of facility keying records and of
keys issued.Maintain utility comparison spreadsheet for all sites.
Occasional(10-33%) Schedule appointments with the Vice President
and maintain his/her calendar, and meetings, phone calls, etc.Order
furniture and supplies for facilities.Some night and weekend phone
calls.Prepare and distribute bid sheets and specifications for copy
paper, uniforms, envelopes, vehicles, etc.Maintain Collegewide
chemical inventory and safety records.Other duties as assigned.
Knowledge, Skills, and Abilities:Ability to manage personnel and
activities in a diversified work setting.Ability to access, input,
and retrieve information from a computer for word processing, excel
spreadsheets, database information, and Ellucian.Ability to
organize and maintain a high level of accuracy and confidentiality
is essential.Ability to prioritize and balance the needs of people
and the task at hand.Represent the College in a most positive,
professional manner to employees, students, visitors, and the
general public.Must be enthusiastic and energetic in performance of
assigned duties and responsibilities.Thorough knowledge of office
procedures, telephone techniques and office equipment, as well as
correct English usage, grammar, punctuation, and math.Ability to
read and understand written and oral instructions or
communication.Ability to efficiently perform tasks in an
environment of frequent interruptions.Ability to assume
responsibility, deal effectively with problems and exercise good
judgment when making decisions.Ability to take notes at meetings
and prepare an accurate record of events.Possess excellent public
relations, oral and written communication skills. Special
Demands:Sedentary to light work. Position involves sitting most of
the time; exerting up to 20 pounds of force occasionally (10-33%).
Stooping, kneeling, crouching, pushing, pulling, carrying,
occasionally (10-33%). Walking, lifting and grasping frequently
(34-66%). Talking, hearing, and viewing various types of close
visual work and repetitive motion constantly (67-100%). May be
required to travel utilizing personal vehicle. Must have valid
driver's license, good driving record and provide proof of
insurance. Employment with Iowa Lakes Community College is
dependent upon successful passage of a criminal background check.

more years of experience in a related area are preferred. (A

consideration.) Personal computer software knowledge and experience
required. Experience with Microsoft Office Suite and Datatel
